The Air Line Pilots Association, International (ALPA) , the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world (representing over 59,000 pilots at 35 U.S.

and Canadian airlines) seeks an Executive Assistant for our Tysons (McLean), Virginia office.

The Executive Assistant to the General Manager serves as the primary point of contact for internal and external contacts and is responsible for completing a broad variety of administrative assignments facilitating the General Manager’s ability to lead effectively including, assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; maintaining agreements and legal contracts; and, ensuring the effective running of the General Manager’s daily schedule and preparation for events on the calendar in a discreet, timely, and efficient manner.

As the General Manager leads ten departments with more than 300 staff members as well as MEC/LEC and Representation offices across North America, the Executive Assistant will be responsible for all aspects of the General Manager’s administrative workflow, including processing the appropriate paperwork and scheduling appointments, as appropriate, for budgeting, procurement, staffing, recruitment, and onboarding of new employees; developing and maintaining office procedures; and, other related functions.

They assist Association leadership in performing the roles of governance and policy development, liaising with ALPA members, and supporting and coordinating activities associated with numerous government and non-government agencies, airlines, associations, and Association offices.

Through their work for the General Manager they support the Association’s business operations, including personnel functions; project, resource, and risk management, as well as the Kitty Hawk Insurance Company; governing bodies; pilot groups; committees; and, task forces.

Success in this position requires the ability to manage the big picture while also keeping track of the details in a professional manner .

Minimum Requirements:

· High School graduate or equivalent plus two years in a college or business school or equivalent experience with an aviation or advocacy organization.

· Four (4) years related experience required, six (6) or more years in a high-level administrative position strongly preferred.

· Strong customer service skills required.

· Comprehensive understanding of the role and purpose of the Association strongly preferred.

· Experience with legal contracts and agreements preferred.

· Keen attention to detail while working in a constantly changing environment.

· Solid interpersonal and communication skills, oral and written, for effective interaction with all levels of contacts, internal and external.

· Accurate proof reading required.
