Project Specialist

General Summary:

The Project Specialist is responsible for managing vendor partner relationships with contracted service providers as well as communicating with additional outside parties who seek to work with Family Dollar. This role is responsible for managing the annual RFP process, vendor screening and scoring, final vendor selection, and management of the contract origination and/or renewal process.
The Project Specialist is responsible for working with Category Managers and Merchandise Suppliers to define a detailed Scope of Work (SOW) for each project. The Project Specialist will finalize all project details and timing, submit to Store Operations management for approval and submit to the Merchandise Operations Labor Calendar. Once agreement is gained from all parties, the Project Specialist must ensure that the SOW is approved and signed by the GMM/VP, Category Manager, DVP Merchandise Initiatives and the supporting Merchandise Supplier. The Project Specialist must embrace Family Dollar’s store-centric commitment to customers, customer service and must ensure that all services performed by the Third Party Merchandising Parties are completed to Family Dollar specifications, with minimal disruption to Team Members and our Customers.

Principal Duties & Responsibilities:

  1. Responsible for planning, execution and management of merchandising and corporate initiative implementation using standard project management methodology.
  2. Develop and maintain positive relationships with both merchandise suppliers and service providers. Holds 3rd party service providers accountable for meeting project execution standards while maintaining positive and constructive dialogue.
  3. Prepare realistic estimates of timelines, resource requirements, ROI elements, budgets and tasks necessary to successfully implement merchandising programs on time and within budget.
  4. Establish and manage to timelines and tasks necessary to successfully drive projects to successful completion on time and within established standards. Report on progress. Escalate issues as needed for swift resolution.
  5. Lead cross-functional teams to solve problems, remove roadblocks and successfully implement initiatives through the detailed discovery of project details and needs. Create plans to avoid potential issues and maintain contingency plans.
  6. Partner with Store Operations, Merchandising, Marketing, Visual Merchandising, Purchasing and Transportation Departments to ensure timing of all supporting materials for each SOW (plan-o-gram layouts, labels, fixtures/parts, signage).
  7. Work with third parties to ensure all work details are executed accurately and on schedule.
  8. Manage the consistent reporting of hours worked, rebate volume, issues log and completion statistics. Provide analysis and reporting as requested.
  9. Maintain an open line of communications with team members across all departments including Merchandising, Schematics, Store Replenishment, Store Operations, Information Technology, Supply Chain, Legal and Finance. Includes communication/reporting to executive management and field management on project status, risks, opportunities, etc. as required.
  10. Monitor invoice processing to ensure accuracy and payment for internal billing; advise Category Managers of outstanding Merchandise Supplier payments to service provider.
  11. Provide ongoing support of programs already deployed and perform other project management duties for ad-hoc projects as assigned.
  12. Maintain high level of customer service for Store Operations, Category Managers and Merchandise Suppliers.
  13. Follows all Company policies and procedures.
  14. Other duties as assigned.

Position Requirements:
Up to 10% travel may be required.

Minimum Requirements:

Education: B.S. in business related field required. Project management certification a plus.
Experience: Four to six (4 – 6) years of experience working in a retail project environment with a focus in Merchandising and Operations. One or more years managing projects and/or vendor management.
Other Skills:

  • Comfortable in an unstructured, fast-paced environment. Experience working in a matrix organization is a plus.
