HR Generalist

American Registry for Internet Numbers (ARIN)

This is a Contract position in Chantilly, VA posted November 20, 2021.

We are currently seeking a Human Resources (HR) Generalist responsible for completing a variety of tasks to support the daily operations of the Human Resources function at ARIN. The HR Generalist will be responsible for updating and applying all ARIN HR policies and company guidelines.

Job Description and Responsibilities

  • Administer a wide variety of aspects of Human Resources for the organization, including but not limited to assist in the development of policies and practices, employee relations, compensation, payroll, and developing and coordinating benefits programs. Maintain current knowledge and understanding of regulations, industry trends, current practices, new developments, and applicable laws regarding human resources.
  • Administer various human resources plans and procedures for all company personnel. Prepare and maintain the employee handbook and assist with the implementation of overall company policies and procedures, as directed by the Senior Director of HR and Administration.
  • Consult with and provide recommendations to the Senior Director of HR and Administration with regards to day-to-day operations and personnel matters as appropriate. Provide recommendations and research to the Senior Director of HR and Administration for the annual budget, specifically developing the compensation and benefits portion of the annual budget.
  • Process biweekly payroll to include analyzing, preparing, and inputting payroll data. Monitor compliance with all applicable state and federal wage and hour laws. Maintain comprehensive leave balances within the applicable system. Process paperwork for computer loans/laptop buy-back program, tuition reimbursement and training and education; and coordinate with the Financial Services Department (FSD) as needed.
  • Process any required Family Medical Leave Act (FMLA) and Short-Term and Long-Term Disability (STD/LTD) forms for all employees in coordination with the Senior Director of HR and Administration. Assist with tracking FMLA and STD/LTD timeframes, processing necessary payroll implications; and maintain current knowledge and understanding of FMLA requirements and regulations.
  • Assist in the performance discussion/review process, coordinating the schedule of reviews, including 90-day new hire reviews, mid-year informal reviews, and annual reviews.
  • Assist with employee morale and engagement efforts as directed by the Senior Director of HR and Administration.
  • Assist with the recruitment efforts for all personnel. Write and place advertisements, schedule interviews as needed, conduct reference checks, and brief prospective employees on the ARIN benefits package. Maintain the personnel files and compile the necessary reports required by management or state and federal law. Coordinate all efforts as directed by the Senior Director of HR and Administration.
  • Compile and maintain new hire documents to include new hire mailing packets, employee handbooks, and other materials. Implement and assist with new hire orientation and onboarding, process any necessary employee changes in various ARIN systems for new hires, terminations, and promotions, etc.
  • Manage ARIN’s benefits administration. Enroll new hires and process any necessary changes in the various websites for ARIN’s benefits. Act as the point of contact for employee benefit questions. Assist in the organization of the Open Enrollment process and timeline. Research benefit implications as special situations arise in the current environment or due to new regulations. Assist with annual budget planning and audits of benefits as needed per direction of the Senior Director of HR and Administration.
  • Responsible for submitting COBRA data to insurance brokers for processing required employee notices with COBRA administrator and check/maintain accuracy of data. Maintain current knowledge and understanding of COBRA requirements and regulations; and track COBRA related timeframes.
  • Maintain ARIN’s Annual Employer Shared Responsibility (ESR) Reporting per the Affordable Care Act (ACA) and ensure information is up-to-date and accurate as changes are made through the year with respect to employee and dependent medical insurance coverage. Submit and process report with the assistance of ARIN’s ESR vendor with oversight by the Senior Director of HR and Administration. Maintain current knowledge and understanding of ESR and ACA requirements and regulations.
  • Assist with the planning of office space allocation and general office layout with ARIN facility staff and Senior Director of HR and Administration.
  • Adhere to company ethics policy. Set standard of ethical conduct for department staff by exhibiting high ethical principles at all times. Report any incidents of unethical behavior or possible fraud to the Senior Director of HR and Administration, President/CEO, COO, or General Counsel. Provide a written quarterly statement of any such activities.
  • Assist with administering ARIN’s ethics program. Review ARIN’s Ethics policy with all employees during new hire orientation. Work with Senior Director of HR and Administration to maintain ARIN’s Whistleblower hotline services.
  • Perform other related duties as required and assigned.

Background / Skills Required

  • Bachelor’s degree in course of study relevant to business administration or human resources.
  • Professional in Human Resources (PHR) certification and/or SHRM-Certified Professional (CP).
  • 5+ years of broad-based HR Generalist experience.
  • Ability to interface well and collaboratively with all departments in the performance of the listed duties and to represent ARIN in a highly professional manner. Maintain the highest level of confidentiality with regards to all HR matters and employee personal information.
  • Detail oriented, extremely organized, and pro-active. Outstanding communication skills, both verbal and written. Ability to multi-task and prioritize. Ability to work independently, and manage a widely varying workload. Ability to provide excellent customer service to all ARIN employees as an HR representative of the company.
  • Strong computer skills and skilled in the full Microsoft Office Suite programs.
  • Ability to adapt to changing work priorities and adjust accordingly.
  • Ability to stay alert to changes in employment law and other practices concerning employers and employees.
