Loudoun School – Administrative Assistant

This is a Full-time position in Loudoun County, VA posted September 1, 2021.

Loudoun School for Advanced Studies is a small yet growing private school in Ashburn, Virginia. We are in need of an administrative assistant that can perform a wide variety of administrative tasks as well as provide excellent customer service to our current and prospective students and parents at the front desk. 


The primary objectives of the Administrative Assistant are to: (1) positive, professional interaction with team members at all levels, (2) perform administrative and clerical duties, and (3) provide general administrative support to school leadership and the administrative team. The Administrative Assistant will report to the School Leader.

 

Essential Tasks:

  • Administrative and Clerical Duties
    1. Answer the central telephone system.
    2. Sit at the front desk reception and sign in students
    3. Serve as a first point of contact and resource for families.
    4. Be cordial, attentive, and responsive to the needs of students and their families. 
    5. Maintain a professional relationship with parents of students.
    6. Receive and process mail.
    7. Schedule admissions meetings 
    8. Ensure office organization.
    9. Deal with vendors.
    10. Data entry of admissions/student information
    11. Assists in ordering and stocking of office supplies.
    12. Provide administrative support to school leadership. 
    13. Other duties as assigned.
  • Safety 
    1. Monitor the front door entry, gates and security cameras.
    2. Badge all visitors including parents and vendors.
    3. Knowledge of all safety drills and emergency procedures
    4. Ensure compliance of health and safety requirements of state and local authorities.

  • Ability to build relationships with families and coworkers.
  • Excellent communication skills.
  • Customer service and problem solving including the ability to maintain composure under stress.
  • Ability to handle confidential/sensitive information and exercise discretion. 
  • Ability to use standard office equipment such as a laptop computer and smartphone.

Experience and Education: 

  • High-school diploma.
  • 2-3 years’ experience in similar role. 
  • Shuttle bus driving experience, a plus.
